The College of Southern Nevada (CSN) is seeking applications from well-qualified candidates for the Administrative Assistant II of the Counseling and Psychological Services position. This is a full-time, twelve-month, benefits-eligible position. The position reports directly to the
The Administrative Assistant has the responsibility of providing administrative support within the Counseling and Psychological Services (CAPS) department. The hired candidate will provide high-touch support to our community of students, faculty, and staff. The Administrative Assistant maintains a consistent focus on our students’ needs. The ideal candidate understands the importance of empathy, active listening, and accountability when working with students. Under direct supervision of the manager of Counseling and Psychological Services, duties include but are not limited to the following:.
Utilize a Student’s First/Student Centered approach in everyday duties and interactions. Promote a culture of inclusiveness and belonging with diverse students and colleagues.
Perform front desk/receptionist duties at the North Las Vegas campus with flexibility to travel to other campuses as requested.
Answer incoming phone calls and address callers’ needs/relay information as appropriate. Respond to requests for information.
Distribute, explain, receive, review, and process CAPS intake paperwork. Make initial eligibility determination and contact students for additional information and clarification as required. Explain program details and respond to questions. Maintain student CAPS records.
Understand and comply with HIPAA and FERPA laws.
Monitor department email and respond to incoming email. Compose and send emails to students and others.
Schedule meetings as requested. Prepare agendas and action items. Take meeting minutes and distribute written summaries.
Maintain complex databases and spreadsheets.
Maintain and inventory of supplies and equipment.
Prepare and type required documents and schedule interviews.
Organize and coordinate workload independently among deadlines and shifting priorities.
Assist CAPS team as needed, complete tasks/special projects requested from CAPS team.
Utilize empathy, active listening, and de-escalation skills in working with students in distress.
Follow protocol for notifying supervisor and clinician of student in crisis.
Perform other related duties as assigned.
Minimum Qualifications
Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.
Preferred Qualifications
Associate’s Degree in Business or related area.
Minimum of 1 year of experience working with individuals with documented disabilities.
Previous experience with case management software and/or student information systems.
Communication skills (i.e., fluent in ASL (American Sign Language), Spanish.
Possess superior written, oral and interpersonal communication skills with a demonstrated dedication to customer service.
Proactive problem-solving skills and ability to work in a high-traffic, fast-paced environment where deadlines are respected.
Demonstrated experience/aptitude to quickly learn and retain institutional knowledge.
Experience working with the population of individuals with disabilities
Demonstrated problem solving skills.
Proven knowledge of the application in Microsoft Office Suite (e.g., Microsoft Word, Excel, PowerPoint and Outlook).
Proven organizational and time management skills.
Proven experience dealing with confidential and sensitive information.
Proven experience working with ADAAA, Section 504, FERPA or similar federal, state or local mandates.
Work Hours
Monday through Friday 8:00 a.m. through 5:00 p.m. There may be occasional need for weekend and/or evening work based on the needs of the college.
Starting Salary
Grade 25, Step 1 $ 42,636.96
Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
